Q4 Events

Simplify your quarterly earnings process using Q4’s white glove service. Our Events team will help guide you through the process and act on your behalf when coordinating your conference call or producing your webcast. Your dedicated Event Manager will ensure the process is smooth and stress free. Your Event Manager will take charge in ordering and preparing all event-related items. Please ensure ample time is given between the event request and the intended announcement or press release. Conference call and webcast details can be adjusted throughout the event planning process.

If your website is hosted by Q4, your Event Manager will also arrange to have our Support Team add the event details to your website at the approved time.

Live Q&A

Conference call Q&A is managed by the operator to ensure a seamless transition. IROs can privately approve or remove queued participants in real time. A list of approved analysts  can  also be provided before the call in order for the operator to proactively manage the Q&A queue. Disapproved queued participants will not know if they are removed from the queue.

The audience can also submit questions through a text box on the webcast. This allows for presenters  to monitor incoming questions and respond directly to the individual attendee, or accumulate questions and address them verbally later on.

Get contacts and identify potential investors from your event metrics. Registrant fields can be customized and participant information is generally provided 2 hours after the event concludes.

Webcast participant information is displayed on a live URL and updates in real time. You can watch your list of registrants grow and gain insights leading up to and after the event concludes.

Conference call participant information is provided as a CSV file following the call. Q4 maintains GDPR compliance when handling all participant information.

Pre-recording the prepared remarks is an efficient and effective way to ensure your best representation, while also taking the stress off of presenting live in a digital environment. Sit back while the recording plays, followed by a seamless transition to live Q&A.

Audio:
Audio recordings can be scheduled any time up to 24 hours before the live call. Recordings are facilitated by a Q4 Audio Producer, who will manage the recording session and audio edits. The edited recording will then be provided for review and final approval before being used on the live event. Final approval is required 4 hours before the start of the call.

Video:
Video recordings are conducted via Zoom and managed by a Q4 Event Manager. Scheduling availability ranges Monday-Friday 8am-8pm ET. Recordings must be scheduled at least one week before the live event to account for editing and rendering time.

Add some colour to the webcast while communicating with your stakeholders. Send the slide deck to your Event Manager who will upload and verify quality prior to your event.

User-controlled slides gives the audience the ability to advance through the presentation at their own pace, minimizing points of control for the presenters. A .PDF file of the slide deck is required at least three hours before the start of the event.

Presenter-controlled slides require a member of your team to advance the webcast slides on behalf of the audience. The audience has no control abilities. A .PPT file of the slide deck is required at least two hours before the start of the event.

Our transcript providers are under non disclosure agreements with Q4 Inc. to ensure security and confidentiality at all times. Transcripts may be requested with a rush (8-hour), one business day, or two business day turnaround time. Although you may make changes to your transcript, those changes may not reflect in non-affiliated transcript portals.
