Requesting an Event
It is recommended that you request your event as early as possible in order to secure the preferred date, time and setup. All information is confidential and protected under a non-disclosure agreement. Once the form is submitted, an Event Manager will be assigned and will begin to gather your event details.

Working with your Event Manager
Your dedicated Event Manager is your best advocate when planning or executing on your event. Feel at ease knowing your event is being managed for you, allowing you to focus on other priorities. They will own and manage the relationship with outside vendors, streamlining your service needs.
Although your Event Manager works closely with Q4 Support and Client Success Managers, it is recommended that you own any conversations regarding website updates or other time-sensitive actions.
Submitting Deliverables
Send any event deliverables to your Event Manager to be included in the conference call or webcast. conference call related items such as custom operator scripts, a list of approved participants for Q&A, or custom music will be delivered to your conference operator.
For webcast-related items such as slides, your Event Manager will contact you for review once the upload is complete. Please provide both PDF and PPT file types to ensure proper formatting.
Don’t forget to provide any site updates or deliverables directly to your support agent for staging.
Pre-record Prep
Pre-records are scheduled with two hours allocated to recording and editing. It is best practice to have the script finalized and all presenters ready to record at the start of the scheduled session in order to make best use of the dedicated time. Additional time may be requested at your expense.
In order to ensure the success of your event, please have a representative available to review and approve the recording once it has been edited. Once approved, your Event Manager will ensure it is uploaded and processed for the live call.
It is best practice to conduct the recording no later than 24 hours before the live call. Quicker turnarounds may be considered on a case-by-case basis. In order to ensure the success of your event, we would like to have the recording finalized as early as possible. This ensures enough time for any potential re-recording or additional edits, while also providing enough time for the conference call provider to upload and review the file.
What to Expect
Your Event Manager will be assigned following the submission of your event request. For routine events such as earnings, you will receive conference call or webcast details as per your preferences. Earnings event setups are duplicated quarter-over-quarter so please make note of any deviation from previous events.
Following the completion of your event, your Event Manager will provide any remaining deliverables such as webcast reports, conference participant lists, or transcripts.
Although your Event Manager is your main point of contact for anything related to your event, please ensure to maintain communication with your CSM (if applicable), and Q4 Support for any website updates.
